VisionSPS Core Product Overview

Multi-Entity Functionality
Vision’s multi-entity functionality provides the ability for system-wide reporting from a centralized database. The software is also designed for use with multiple hospitals and healthcare providers within a healthcare system. Credentialing data can be organized for use system-wide and/or for a specific hospital. An entity is a function that allows providers to be separated into different groups. An entity usually represents a facility and allows for the management of facility specific information. However, it can also be used to segregate data within a specific facility (i.e., archive entity to track inactive physicians). Users can enter, edit, and maintain multiple relationships for tracking all providers across multiple entities.
Multi-Level User Security
The VisionSPS software also provides multiple levels of access control and security. User access can be granted or restricted for modules, data, screens, entities, and reports. Users can also be assigned additional security rights including: system admin, edit, or view/read-only. Users authenticate with application level credentials using encrypted passwords and LDAP authentication technologies.
Verification Modules (Appointment and Re-appointment)
These verification modules track the initial and reappointment verification process for appointment to the medical staff. Initial or reappointment verifications can be electronically managed and auto populated from start to finish with the help of VisionApplication (optional). The appointment modules create checklists of verified data to insure that all items in the appointment and reappointment process are completed. At any time, users can view the progress of any or all providers in the verification process. Our Alert Notification Tool works in concert with the verification modules to ensure that proper workflow processes alert the user of pending expiration dates.
Clinical Privileges Module
The Clinical Privileges Module allows users to assign, manage, and review unlimited and completely customizable practitioner privilege information. This module also tracks and manages physician proctoring and clinical areas. Core Privileges can be easily delineated within each clinical area. Privileges can be added and duplicated between clinical areas and entities. The medical staff office can enter an unlimited number of privileges per department, clinical area or category. Core Privileges content, considered to be industry standard, can be provided by GetProof. This content can be managed and modified based on the recommendation of hospital committees
e-Letter Wizard (with 50 Standard e-Letters)
With the power of paperless credentialing, letters can be electronically sent via fax or e-mail, as well as stored as part of the physician’s electronic file. For added functionality to the verification process, a letter history is provided. The e-letter wizard provides the capability to auto populate credentialing and verification letters and labels (if needed) using Microsoft Word. Although these letters can be printed, they never actually have to become “paper.”
Advanced Reporting Module (with 100 Standard Reports)
Advanced Reporting contains 100 standard reports that can be accessed, queried and run directly from the Vision system. Reports can be run on the entire staff, provider groups, or on an individual basis. Standard reports can be customized or new reports can be developed. Crystal Reports print engine, the industry’s most powerful windows-based report writer, comes standard with the VisionSPS system.
QuickFind Reporting Ad hoc Query Tool
The QuickFind reporting tool empowers users to select physicians, pull information from any field on any screen, sort and filter the information selected, and export the information into a Microsoft Excel file. Reports are accurate, instantaneous, and customizable. The QuickFind Report Wizard allows any user to quickly pull data from any field in a selected screen. For example, a QuickFind report could find all doctors with an ACTIVE status that have a DEA number starting with A and sort this list in ascending order.
Primary Source Interfaces (NPDB &OIG)
The software offers automated interfaces to the Office of Inspector General’s (OIG), List of Excluded Individuals/Entities (LEIE), and the National Practitioner Data Bank (NPDB). The OIG tool will assist users in downloading the OIG list and other Opt-Out provider lists. The interface will scan the downloaded lists and compare them to the physicians listed in the Vision database. Positive matches will be identified and can be electronically stored as part as the paperless physician file.
The NPDB interface allows users to send a physician query directly to the NPDB. A report is then electronically received from the NPDB into the Vision software. The data can be digitally integrated into the provider’s electronic file.
Global Update Tool
The Global Update tool updates data elements in groups rather than individually. A sampling of data elements globally updated with this tool are: State license, Malpractice Insurance, DEA License, Board Certification, State CES, other Certifications, Initial Approval, Recredentialing, and Status Update.
Alert Notification
Automatic alert notifications allow users to monitor critical expiration dates. Based on configurable notification parameters, the system will automatically notify users upon log in or via e-mail of upcoming critical dates such as license and certification expirations. This tool provides the ability to forecast a user’s upcoming verification and expiration workload.
Audit Trail
Audit Trail gives administrators the ability to track additions, edits, and deletions to the provider profile. Audit Trail tracks the date and time of any changes as, well as the table, provider and screens affected by these changes. This feature can be turned on or off through system settings.
Practice Group and Office Management
This module allows users to manage group practices and offices. Users can track multiple practice offices for each Group Practice and track stand-alone offices that have no Group Practice affiliation. In addition to address and contact information, users can track office billing information and hours of operation. Users can globally update office addresses for all Group Practices.
CME Module
This module allows users to manage Continuing Medical Education (CME) course information for their providers. Users can assign attendees to scheduled classes, track provider attendance by individual class, or view a list of classes attended by a specific provider. Users can also track class attendees who are not part of the medical staff. This module allows for class fees to be logged and tracked by individual attendee. The ability to printout and record anonymous class surveys is also included.
Meetings and Committees Module
This module provides the capability to create and manage hospital\department committees or committee meetings. Committee members can be added individually or through selection by specific characteristics such as practicing specialty or status. Committee meetings can be created individually or by a defined recurrence schedule. Vision’s meeting manager tracks meeting details like name, date, time, and topic. Users can track individual member attendance and assign CME credit for qualifying attendees. CME credits are automatically sent to the CME tracking module to avoid dual data entry.

Managed Care
The Vision software is compliant with NCQA standards. Examples of data tracked include: delegated credentialing relationships, site review, medical record review, and contract management.
Integrated Paperless Credentialing
Advanced Document Capture, Index and Retrieval
VisionSPS captures a wide variety of documents and associated data and organizes them into an easily manageable structure. The system can capture documents from any source: including scanned, faxed, or electronic files in either black and white or color.
VisionSPS
Allows end users to efficiently organize and index documents stored on a variety of storage media. The system retrieves documents instantly for editing, annotating, and/or integration into the physician database. It also enables the users to share or distribute documents via LAN, WAN, Internet/intranet, e-mail, fax, groupware, CD, or printed copy.
Users can retrieve documents from the physician database by using the integration to VisionSPS function, Document Explorer, by executing a query, or by running a Browse by Document Type query.
Web Capture Users can convert web pages into an electronic file format by using a special print driver included with VisionSPS. For example, DEA licenses can be captured directly from the NTIS web site and imported into the physician database. These images can be inserted as pages in new or existing documents or forwarded as new documents to electronic In Baskets.
Microsoft Office Integration
Users can create documents in Microsoft Word, Excel, PowerPoint and Outlook applications and send them directly to Vision’s paperless database. Vision Office works with Microsoft Office 2000, 2003 and XP.
Standard Credentialing Document
Types
VisionSPS includes all of the standard document types that are recommended by JCAHO for use in the credentialing process. Everything from DEA Licenses to Malpractice Insurance Certificates have unique document types and index fields. These index fields are matched to the data elements in the VisionSPS database.
OCR and Image Enhancement Tools
The Optical Character Recognition (OCR) option enables users to perform zone or full page OCR on a document, either during the capture process or at a later time. Using a Point & Shoot technique, users highlight certain Zones on the document and associate these Zones with specific index fields. When the Index Template and the OCR option are used together, VisionSPS automatically reads the data from the defined Zones in a document and inputs them into their associated index fields. Full page OCR converts an image document into a text document that can then be Full Text indexed. VisionSPS merges the results of the full page OCR process into any document in a specific file format.
The VisionSPS Image Enhance feature provides a full complement of features that improve the appearance and readability of documents. The Image Enhance option can be applied to a document before and/or after performing OCR. It can be used on documents as they are being captured or on document images already stored in an In basket or indexed to a database. The enhancement options yield a cleaned up, visually improved document image and greater OCR data integrity.
Document Audit Trail
The Document Audit Trail enables administrators to set up an audit log file to track a variety of user activities performed on documents. It performs audit logging for a document on a function-by-function basis; administrators can select exactly which functions to track in the audit log. Administrators can search the audit log for specific activities or for users by executing a query on any document in the system.

- indexing a new document into a database
- modifying a document’s index data
- deleting a document from a database
- viewing a document
- printing a document
- faxing a document
- exporting a document
Automated Image Import Tool
Users can import electronic documents into an In Basket for later indexing, or directly into a physician database as a specified Document Type. Users can import multiple pages into one document or into separate documents.
During the import process users can set index data or specify that the system should perform OCR and Image Enhance operations on the imported documents automatically. Users can save the import settings as an Import script and then schedule that Script to run at specified intervals of time (every night at midnight for example).
QuickFind Document Query Tool
QuickFind is a document retrieval utility that allows users to launch a query from a desktop icon to search and find documents instantly. Click on the QuickFind Document icon and enter the physician’s name, DEA number, or other key value specific to a document type, and within seconds the needed document is retrieved.
Auto-Logoff
Auto-Logoff enables administrators to set a global timeout value for user inactivity. After a specified number of minutes of inactivity, the system will release the station license being used. Users will be informed that their session has been timed out, and they will need to log on again to continue working in the system.
Image Export Capabilities (print, fax. e-mail, etc.)
Documents can be printed, faxed, or e-mailed directly from VisionSPS. They also can be exported as various standard file formats including XML and PDF.
Annotations
VisionSPS users can attach notes, freehand drawings, lines, and stamps (e.g., RECEIVED or URGENT) to a page, and highlight or redact sections of pages. Additionally, include OLE objects from other applications as annotations. Users can also quickly hide or show annotations, and can specify whether to print, fax, or e-mail them. Security features include an Always Visible attribute, so a user cannot hide an annotation and a protected attribute. Only the author of the annotation or the administrator can modify or delete it.
Versioning
VisionSPS users have the flexibility to check out a document from the VisionSPS paperless database and work on it, leaving the original document in place for others to view.
Auto Numbering (Bates Stamping)
The Auto Numbering feature lets VisionSPS users assign a numbering scheme to any captured document and index it into the paperless physician file database. Documents and pages can be uniquely identified. Auto number stamps can be placed on documents for export, e-mail, faxing or printing.

| Web Reporting Reports can be generated automatically on pre-defined schedules, and can be e-mailed to the people that need them without additional user input; once the parameters and schedules have been defined. Additionally, this information can be posted on a desktop in an “information dashboard” that is automatically updated throughout the day. (Picture the CEO of a hospital that has a profitability dashboard on his or her desktop, showing overall profitability of the hospital, based on bed count occupancy rate. At any given time, the CEO knows if the facility is profitable or not, based on criteria set up by the CEO). This web-based reporting service offers full featured reporting capabilities, scheduling, and multi-format output – all without the need for 3rd party reporting software. |
